Yes, and it changes which hotel we recommend. For anyone with limited mobility we look for a short step-free walk to the Haram rather than a cheaper hotel that depends on a long shuttle ride and a long walk at the far end, lifts to every floor, and rooms on lower floors. Wheelchairs, pushers and electric carts are available around the clock at the Haram, and the upper levels of the mataf are calmer than the ground floor at busy times. Tell us who is travelling before we choose the hotel, not after. #### Do you plan for families with young children? Yes. A room that technically sleeps four is not the same as a room a family can live in for two weeks, so we look for genuine family rooms or two connecting rooms, a kettle or fridge, and lifts. Tell us the ages and we will say plainly which option works. ### Paying #### How do I pay? By bank transfer, or by card through our checkout. If you transfer, you upload the proof on your own package page and our finance team verifies it before the booking moves on. The account details are printed on your invoice. #### Can I pay in instalments? Instalments are a Pakistan option. If you are booking on a Pakistani number and your travel date is more than ten days away, the schedule is a 40% deposit, due within three days, and the balance after it: within seven days when you are travelling thirty days or more from now, and within four days when you are travelling sooner. Guests booking from the UK, the USA, Canada, the UAE and anywhere else pay in full, due within three days. If your Umrah is within ten days there is no room for instalments at all: the full amount is due the next day. #### What happens if I miss a payment date? Nothing is held for you by the hotel or the airline until it is paid for, so a missed deadline can cost you the room or the fare you were quoted. Talk to us before the date rather than after it. Visa only is a service we offer, and nobody will be pushed into a package they did not ask for. Ramadan and school holidays run longer. We will give you the honest range and never promise a specific day, because the issuing is not ours to promise. #### What documents do you need from a Pakistani passport holder? - Passport valid at least six months beyond travel, with two blank pages - One passport-size photograph on a white background - A copy of the CNIC - For women and children travelling without the head of the family, the family relationship documents Biometrics at an authorised centre may be required depending on current Saudi rules. #### Can I perform Hajj on an Umrah visa? No. An Umrah visa is not valid for Hajj, which needs its own permit. Being in Makkah on an Umrah visa during the Hajj days without that permit risks fines and deportation. We arrange Umrah only. #### What is Nusuk, and do I need it? Nusuk is the Saudi platform that issues the time-slot permits for Umrah itself and for the Rawdah visit in Madinah during busy periods. Install it before you travel, carry the permits on your phone, and keep a printed backup, because the gates scan the QR code. Umrah Companions arranges your travel; permits and Rawdah slots are administered by the Saudi authorities, so please verify the current rules on Nusuk when you book. #### How do I visit the Rawdah? With a Rawdah permit through Nusuk. Permits are issued per person, with separate men's and ladies' time slots, and slots fill days ahead in high season, so book early and plan the rest of the group's day around the time you are given. #### Can I perform Umrah more than once on the same trip? During Ramadan and peak weeks the authorities may limit repeat Umrahs to once per period per person through Nusuk. Meningococcal ACWY vaccination is the standard requirement for an Umrah visa, and seasonal flu and routine vaccines are recommended. Policies evolve, so verify it when you book. A woman who is menstruating delays Tawaf until purity but may perform every other part of the journey, including entering Ihram. #### How do I get between Makkah and Madinah? Usually on the Haramain high-speed rail, which links Jeddah airport, Makkah and Madinah in roughly two to two and a half hours between the two holy cities. Its luggage limits resemble airline cabin rules, so large cases travel better with a hotel transfer coach where that is part of your package. #### Can I bring Zamzam home? Drink freely at the dispensers, and buy the sealed five-litre container for the flight home only at an approved point. Install the app before you fly, keep the permits on your phone, and carry a printed backup because the gates scan the QR code. ### Ihram Ihram is entered before you cross the meeqat, the boundary at which the intention becomes binding. Pilgrims flying into Jeddah usually enter Ihram before boarding or during the flight, and the crew announce the meeqat as the aircraft approaches it. Pilgrims travelling from Madinah enter Ihram at Dhul Hulayfah, also called Abyar Ali. Men wear two plain unstitched white cloths. Women wear ordinary modest clothing, without a face-covering niqab or gloves while in Ihram. While in Ihram, avoid perfume and scented products, cutting hair or nails, hunting, marriage contracts and intimacy, and, for men, covering the head or wearing stitched garments. Unscented soap and unscented sunscreen are fine. An umbrella for shade is fine for everyone. If a restriction is broken by mistake, no sin is intended, but a compensation (fidyah) may apply. Ask a scholar about your own case rather than working it out from a website. ### Niyyah and the talbiyah At or before the meeqat you make the intention for Umrah and begin the talbiyah, saying it as you travel on towards Makkah. ### Tawaf Tawaf is seven anticlockwise circuits of the Kaaba, each beginning and ending at the line of the Black Stone. Wudu is required for Tawaf. If space allows, pray two short rak'ahs behind Maqam Ibrahim afterwards. There is no fixed script of dua for each circuit. Any sincere supplication, in any language, is valid throughout. Touching or kissing the Black Stone is sunnah when it is easy and never worth harming another person in a crush; pointing toward it from a distance is fully valid. Masjid al-Haram has accessible upper levels for both the mataf and the mas'aa, and wheelchair or electric-cart services that can be arranged on site. The upper levels are calmer than the ground floor at peak times. ### Sa'i Sa'i is seven lengths between Safa and Marwah, walked inside the mas'aa. The same rule applies: any dua, in any language, and no need to hurry through a crowd. ### Halq or taqsir The Umrah is completed by shaving (halq) or trimming (taqsir) the hair. Shaving is for men only; women trim about a fingertip's length. Ihram then ends, with its restrictions. ### Madinah and the Rawdah Madinah is not a rite of Umrah, and it is where most pilgrims say the journey settles in them. You pray in Masjid an-Nabawi and send salam upon the Prophet, peace be upon him. The Rawdah, the area near the blessed grave, is entered on a Nusuk permit at the time slot you were given, and the slots for men and for ladies are separate. ### Ziyarah Around Makkah, guided visits usually take in Jabal al-Nour and the Cave of Hira, Jabal Thawr, and the plains of Mina, Arafat and Muzdalifah, where the geography of Hajj is explained. Around Madinah, they take in Masjid Quba, Masjid Qiblatain, Mount Uhud and Jannat al-Baqi. ### What Umrah is not Ifrad, Tamattu and Qiran are the three forms of Hajj, not of Umrah. Ifrad is Hajj alone with no Umrah; Tamattu is Umrah first, leaving Ihram, then Hajj in the same season; Qiran is Umrah and Hajj together in one Ihram. An Umrah performed on its own, outside the Hajj days, is none of the three. We arrange Umrah only, and anything deeper belongs with your own scholar. ### Heat, crowds and courtesy Makkah is seriously hot for most of the year. Drink constantly, use the shaded levels for Tawaf and Sa'i in the middle of the day, and put outdoor rites in the early morning or after Isha. Keep walkways and emergency lanes clear, queue calmly at the gates, and follow the guards immediately when they direct you. Photography inside the Haramain is tolerated for personal use, but do not film worshippers close up, do not use flash or a tripod, and do not block the mataf. For anything about your data, write to support@umrahcompanions.com or to [DATA PROTECTION CONTACT], who handles these requests. ### What we collect, and why #### What you tell us while planning The city you fly from, how many are travelling, your dates, your nights, your budget if you name one, and any needs you tell us about - a wheelchair, a cot, a family room, an airline you would rather not fly. We hold this so a package can be built for the people actually travelling, and so you do not have to repeat yourself in a later conversation. #### Your account and contact details Name, email address and phone number, so we can send your package, your invoice and your travel pack, and so you can sign in to see your own bookings. #### Traveller documents Passports and the identity papers a visa application needs. These are uploaded into our system, held for the visa application and the booking, and belong to you. Our staff and consultants are required to put them into the system rather than keep copies of their own. #### Payments What you paid, when, in which currency, and the proof of transfer you upload. We do not store your full card number. Card payments are handled on the payment provider's own page, not on ours. #### Messages Website chat and WhatsApp conversations with us are stored as the record of what was agreed, along with the packages and quotes produced in them. #### Approximate network location Our server may receive an approximate city, region, country and timezone from your public IP address. We use it only to suggest a likely departure city and the currency you probably read prices in, and nothing is acted on until you confirm it. We do not store a readable IP address: the server converts it into a one-way keyed fingerprint and stores that, with the coarse location and visit timestamps, for continuity and abuse prevention. ### The AI companion Ibrahim, our planning companion, is a large language model grounded in this house's own knowledge base and its own rate book. The words of your conversation are sent to the AI provider that runs the model so it can answer you. We do not send your readable IP address to it. Do not put passport numbers, card details or medical records into the chat: if a document is needed, we will ask you to upload it into the system instead. ### Who processes data on our behalf We use a small set of suppliers, each doing one job: - Database, file storage and sign-in, hosted in Singapore - Website hosting - Email delivery, for your quotes, invoices, receipts and travel pack - A WhatsApp business platform, where you contact us on WhatsApp - Payment gateways, which take card payments on their own pages - AI providers, which run the model behind the planning chat - Mapping and search providers, used to place hotels and check prices - Airlines, hotels, visa processors and transport suppliers, who need the traveller details in order to hold the booking We do not sell your data, and we do not share it for anybody else's advertising. ### Where your data is held Our database and file storage sit in Singapore, and some of the suppliers above operate in other countries, so your data is transferred outside Pakistan in the ordinary course of running the service. Booking a journey to Saudi Arabia necessarily means sending traveller details to Saudi suppliers and to the Saudi visa system. ### How long we keep it Booking, payment and tax records are kept for [RECORD RETENTION PERIOD], as required of a travel business. Uploaded traveller documents are kept for [DOCUMENT RETENTION PERIOD] after the journey. Planning conversations are kept so we can honour what was agreed and so you are not asked the same questions twice. You can ask us to delete anything we are not required to keep. ### Your choices - Ask for a copy of what we hold about you. - Ask us to correct anything that is wrong. - Ask us to delete what we are not legally required to keep. - Ask us to stop sending marketing messages. Messages about a booking you have made are not marketing and will continue while your journey is live. Sign-in is handled by our authentication provider, and records are limited to their owner. Server-only keys are never included in the code your browser downloads. No system is perfect, so tell us at once if you believe your account has been used by someone else. ### Children Children travel on Umrah all the time, and we hold their details as part of a family booking made by an adult. We do not offer accounts to children, and a child's details reach us only through the adult who is travelling with them. ### Storage in your browser We use browser storage to keep you signed in and to hold your working trip plan so that a refresh does not lose it. We do not run third-party advertising trackers on this site. ### Changes When this policy changes we replace it here and change the date below. Continuing to use the service after that means the new version applies. It is not comfortable reading, and it is more useful than a friendly page that leaves you guessing. Read it before you pay a deposit, not after. ### The short version Once a booking is confirmed it is non-refundable unless the supplier's own terms say otherwise. That is because the money does not sit with us: it is paid on to hotels, airlines, transport companies and the visa system, each of which has its own cancellation rules, and most Umrah-season hotel rates are sold to us on non-refundable terms. ### Before anything is confirmed A quote is not a booking. Until you pay, nothing is held for you, nothing is committed on your behalf, and you owe nothing. You can walk away from a quote at any time, and the price it quoted may have moved by the time you come back, because hotel and airline prices move. ### Deposits and payment deadlines Instalments are a Pakistan option. Where they apply, the deposit is 40% of the total, due within three days, and the balance follows: within seven days when your travel date is thirty days or more away, and within four days when you are travelling sooner. Guests booking from anywhere else pay in full, due within three days. If your Umrah is within ten days, the full amount is due the next day. A deposit is what allows us to commit to suppliers on your behalf, so from the moment it is paid, money starts leaving on your booking. If the balance is not paid by its date, the supplier can release the room or the fare, and what has already been spent on your booking cannot be recovered by us. ### Hotels Hotel bookings in Makkah and Madinah are generally sold to us as non-refundable, non-changeable and non-cancellable. Ramadan bookings in particular are non-refundable and non-changeable, and where a guest does not arrive, all nights are charged. Your travel pack states the exact terms that apply to your booking, and those terms are the ones that govern it. ### Flights A flight is governed by the airline's own fare rules, and those rules vary from ticket to ticket. Some fares allow a change for a fee, some allow nothing at all once issued. We will tell you what your ticket allows before you ask us to change it, and any airline fee or fare difference is yours. ### Visas The visa fee and the mandatory insurance are paid into the Saudi system when the application is lodged. What can be returned depends on the stage your application has reached, and we will tell you honestly where it stands rather than guess. If a fine is imposed on us by the visa company in connection with your application, that charge is passed to you. ### Transport and extras Transfers and guided Ziyarah are booked with local suppliers on their own terms. Where a supplier will refund an unused service, we pass the refund through in full; where it will not, we say so. ### If we cancel If we cancel a booking for a reason of our own making, you get every rupee back, including anything we would otherwise have kept. If a supplier cancels on you - an airline drops a route, a hotel cannot honour a room - we will first try to move you to an equivalent service at no extra cost to you, and refund what cannot be replaced. ### Things nobody controls Entry requirements are set by the Kingdom of Saudi Arabia and can change. A refused visa, a closed border, a suspended permit or a grounded airline is not something we can pay for, and in those cases we refund whatever the suppliers release to us and no more. We will always show you exactly what came back and from whom. ### How to ask for a refund Write to support@umrahcompanions.com with your booking reference, or ask on the same WhatsApp thread you booked in. Tell us what you want cancelled and why. We will tell you what each part of the booking will release before anything is cancelled, so you can decide with the real numbers in front of you. Every refund we make is recorded against your order with its reason, and it is returned to the account the payment came from. Where a payment gateway or a bank sits in the middle, the money moves at their pace, not ours, so we will not promise you a date we cannot control. ### The paperwork that governs your booking The terms on this page apply alongside our [terms and conditions](https://www.umrahcompanions.com/terms), our [transfer terms](https://www.umrahcompanions.com/transfer-terms), and the specific terms printed on your invoice and travel pack. The first is moving a booking - to another traveller, or to another date. The second is the vehicle that moves you between the airport, your hotels and the two cities. This page covers both. ### Part one: transferring a booking #### Changing the name on a booking A hotel booking can normally be moved to a different guest up to 48 hours before arrival. Ask us as early as you can, because after that point the hotel is under no obligation to accept the change. A flight is different. Airlines treat a name change as a new ticket far more often than not, and what your ticket allows depends on the fare it was issued in. We will tell you exactly what your ticket allows before you commit to anything, and any airline fee or fare difference is yours. A visa cannot be transferred at all. It is issued to a named person against their own passport, and a different traveller needs a new application. #### Changing dates or the shape of the journey Any revision to a confirmed reservation is subject to availability at the time you ask, and may carry a rate difference. Prices move, so moving a booking into a busier week can cost more than the original booking did, and we will show you the new figure before anything is changed. Ramadan bookings are non-changeable. That is the hotels' rule, not ours, and it holds for every Ramadan booking we make. #### Before it is confirmed, change anything Until a package is paid for, nothing is fixed. Tell us to change the nights, the hotels, the order of the cities or who is travelling, and we rebuild the package and send you the new document. There is no charge for rebuilding a package that has not been booked. #### Rooms and special requests Requests for smoking or non-smoking rooms, a particular view, a floor, twin beds or adjoining and interconnecting rooms are subject to availability on arrival and cannot be held in advance. Five-star hotel rooms in the Haramain are standard double bedrooms; where a triple or a quad has been booked, the extra beds are provided after check-in. Extra beds follow the hotel's own policy. #### How to ask Message us on the thread you booked in, or write to support@umrahcompanions.com with your booking reference and the change you want. What money moves when a booking changes is covered by our [refund policy](https://www.umrahcompanions.com/refund-policy). ### Part two: the transfers we drive #### What a transfer is A transfer is a private vehicle between two named points: the airport to your hotel, your hotel to the train station, one city's hotel to the other city's hotel. Your package document names the pickup and the dropoff for every leg, so you can see exactly what has been booked. The vehicle class is set by the size of your party and the luggage you are carrying. #### What a transfer is not A sightseeing run is not a transfer. A Ziyarah tour around Makkah or Madinah is a separate service with its own price, even when it happens to end in the other city, and we will never quote you a tour and call it a transfer. #### The Haramain train Most journeys between Makkah and Madinah run on the Haramain high-speed rail, which links Jeddah airport, Makkah and Madinah and takes roughly two to two and a half hours between the holy cities. Its luggage limits resemble airline cabin rules, so large cases travel better with a hotel transfer coach where your package includes one. Where your package includes the train, it also includes getting you to and from the stations. #### Arrivals and delays Give us your flight numbers as soon as you have them so an arrival can be met even when the flight runs late. If your flight changes after your travel pack has been issued, tell us immediately: a driver sent to the wrong time is a transfer you have paid for and will not receive. #### If something goes wrong on the day Your travel pack carries the number to call, and it is the fastest thing you can do.
